Job Description:

This key position supports the General Construction Division at the UDC Corporations satellite office in El Segundo, CA.  The office supports General Contracts and construction at the local Aerospace companies in the Southbay, along with other clientele in Southern California.  The CA/PE position will support the 2 Project Mangers at the El Segundo Office, as well as collaborate with the main Anaheim Office on Accounting, Job Cost Reporting, and Subcontracts

 

The position has future upward mobility and advancement to Assistant Project Management and Managing positions at UDC.

 

The following is a brief description of responsibilities to be performed by the Construction Administrative Assistanct/Project Engineer.  Job responsibilities include, but are not limited to the following:

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provide administrative support to the Sr Project Managers and Main Office Accounting Dept.
  • Assist Sr. Project Managers in the bid process including Bid Invitations, Addendum tracking, Bid Assemblies, etc.
  • Drafting the Subcontract Agreement Scopes of work
  • Track and log subcontract and Owner change orders with PM
  • Update and Track the Subcontract Agreements and Subcontractor Insurance Certifications with the Main Office.
  • Coordinate the collection and packaging of Submittals for Owner reviews and track on the logs 
  • Maintain and Update Job cost reports with the main office monthly
  • Request and receive payment application packages from the Subcontractors and main office
  • Obtain and organize all necessary “close-out" documents including warranties, O&M manuals, etc.
  • Maintain a central filing system for all files, job folders, payment folders, etc.

QUALIFICATION REQUIREMENTS:

  • Proficient in Microsoft Office, Excel, and Outlook.  Microsoft Project and Powerpoint would be beneficial
  • Working knowledge of Construction and Terminology
  • Ability to perform all essential duties and responsibilities listed above.
  • Detail oriented and organized.
  • Able to effectively use common office equipment.
  • Ability to reprioritize projects frequently.
  • Must have ability to multitask.
  • Independent, self-motivated, team player.
  • Able to effectively communicate with all levels of staff and management and outside vendors.

 

EDUCATION and/or EXPERIENCE:

  • Bachelors Degree In Construction Related Field preferred
  • 2-3 years of construction coordinator/ administrative support experience a plus
  • 1-2 years of construction accounting experience a plus
