Job Purpose

The Project Coordinator supports Project Managers, Project Engineers and/or Superintendents by providing administrative tasks associated with change orders, expediting, shop drawing acquisition and review, contact with other contractors, contract revisions & documentation. Mentors/Trains less experienced Project Coordinators and/or Project Administrative Assistants.

What You'll Do

  • Generate computerized project schedules based on information from the Project Manager
  • Create and update specialized project schedules and labor tracking sheets as needed
  • Organize final preparation of project submittals and verify approved submittals for conformity
  • Create panel schedules based on information from project foremen
  • Oversee subcontractor/major material purchase orders throughout the project's duration
  • Verify that all material, equipment, and tools are being ordered and arriving to proper job site on schedule and field paper work is maintained correctly.
  • Complete permit application and process with appropriate agency and notify all concerned of the permit number and process copies within company as required
  • Attend various meetings i.e. job start up, turnover and take meeting minutes and file appropriately
  • Follow up on any actions items from meeting agenda
  • Maintain Change Order, Material Logs, and RFI logs
  • Ensure the foreman receives a copy of each RFI and periodically forward an updated log to the Foreman. Review the log and flag items that are outstanding or have not been answered
  • Be current and knowledgeable of projects and Project Manager Files to assist other departments as needed
  • Responsible for project close out procedures. Facilitate the gathering, assembly, and completion of the O&M’s, warranty letters, and any other close out documentation required by owner/GC
  • Perform additional assignments per management’s direction

What You'll Bring

  • Some knowledge of the National Electric Code, & California Building and Electrical Codes
  • Ability of drafting and editing contract documents utilizing appropriate software(s)
  • ability to produce and proofread for well written error free documents
  • Possesses basic knowledge of construction terms, materials, methods and trades
  • Ability to smoothly handle a variety of situations and problems that may arise, sometimes several at a time, and either solve them or work with others involved in order to come to cooperative resolution
  • Strong work ethic
 
  • Proven ability to work effectively both independently and in a team-based environment
  • Excellent organizational and decision making/problem solving skills
  • Strong written and oral communication skills to effectively disseminate information
  • Ability to foster a cooperative work environment
  • Ability work on multiple projects while meeting required deadlines
  • Well organized and able to multi-task
  • Proficient in Software/Computer programs and equipment
    • Microsoft Office Suite (Word, Excel, PowerPoint, etc.)
    • Adobe Acrobat
    • Cloud-based applications
    • Software programs i.e. Acubid, Spectrum
    • General office equipment
  • High School Diploma or equivalent
  • Associate degree from a two-year college or technical school or equivalent combination of education and/or administrative support experience (preferred)

Minimum three years of related experience in Construction Industry (preferred)

Working Conditions

Duties are normally performed in an office setting. The noise level in the work environment is typical of most office environments which is usually moderate.
