Job Title: Associate Specifier

VVAS is looking for a motivated and detail-oriented professional to join us as an architectural specifications writer. This is an exciting opportunity for anyone with an interest in learning the architectural discipline of specifying and a desire to grow within a collaborative, professional environment.  

The position blends technical specification work with essential administrative responsibilities, including project manual compilation and coordination of consultant specifications. We provide comprehensive training in our software and methods, and we actively support professional development and certification through CSI’s CDT and CCS programs and SCIP’s specifier trainee program. 

 

Core Responsibilities 

 

Specification Writing & Editing 

  • Write, edit, and coordinate specifications and project manuals for projects in all phases, from Schematic Design through Contract Administration.

  • Conduct quality assurance and quality control reviews at each stage of a project. 

  • Research products, materials, and applicable building codes to support specification content. 

  • Assist in maintaining and updating the firm’s specification standards library. 

 

Administrative & Project Coordination 

  • Compile and assemble complete project manuals, ensuring proper organization, pagination, and formatting in accordance with CSI MasterFormat and PageFormat structure. 

  • Coordinate the receipt, review, and integration of consultant specifications into the project manual, tracking submission status and following up as needed. 

  • Maintain organized project files and correspondence logs related to specifications and project manuals. 

  • Respond to document markups using Bluebeam Studio Sessions, including setting up sessions and coordinating markups from consultants and clients. 

  • Assist with milestone scheduling and tracking of specification issue dates across multiple concurrent projects. 

  • Support project managers in communicating with clients and consultants regarding specification submittals, clarifications, and revisions. 

 

After the initial training period, a hybrid working arrangement may be considered.

  • Concise technical language in specifications. 

  • Working knowledge of project manual organization and drawing coordination. 

  • Effective research.

  • Dynamic coordination with VVAS teammates. 

  • Independent exploration and review of drawings and specifications. 

  • Strong organizational skills with the ability to manage document workflows across multiple projects. 

  • Independent learning of software systems: 

  • Asana task management 

  • Microsoft Office suite 

  • Mail Manager, as part of Microsoft Outlook 

  • Bluebeam Revu and Bluebeam Studio Sessions 

  • e-SPECS Linx and SpecPoint editors for MasterSpec text 

Qualifications 

  • Background in architecture, construction management, or a related field a plus. 

  • Some experience writing, reviewing, or working with architectural specifications is a plus, but not required. 

  • Strong attention to detail, particularly in document organization and technical language. 

  • CSI CDT, or  CCS certifications are a plus; VVAS encourages and supports candidates in pursuing these credentials.
